VoIP Installation Process: Step by Step

Two clocks run at once: the build, which we control, and the number port, whose release date is set by the carrier you are leaving.

Free Call Review (30 minutes)

An engineer reads your current bill line by line and asks how calls move today — who answers, what happens after hours, where overflow goes. You get a written per-line quote afterwards; no contract to sign to get it.

You provide: your latest phone bill (optional but it makes the quote exact), line count, locations.

Call-Flow Map

Auto attendant menus, queues and ring groups, after-hours and holiday rules, failover to mobile — drawn out and agreed before anything is built. Greetings are recorded to your script.

You provide: thirty minutes with the person who knows how the office answers the phone.

Network Check

Router SIP settings, voice VLAN and QoS where your equipment supports it, upload headroom for concurrent calls (roughly 100 kbps per call), and cabling. Most “VoIP problems” are network problems, so this happens before the phones arrive. Structured cabling and network work are quoted separately by the same team.

Provision and Port

The system is built to your map and tested with temporary numbers. Desk phones are pre-configured and labelled by user. In parallel we file the port with your current carrier using a signed Letter of Authorization and your bill; the carrier validates the account details and sets the release date. How porting works →

You provide: one signature on the LOA, and a site that is ready (power, internet, desk space).

Install and Cut Over

On-site installation across the Orlando metro; elsewhere in Florida, phones ship pre-configured and our engineer works with your staff or local IT contact by phone, with on-site visits by arrangement. On the release date calls move to the new system. Every line is test-called — inbound, outbound, voicemail, E911 — the same day.

Train and Support

Team training on go-live day covers calling, transfers, voicemail and the mobile app. Afterwards, questions go to the same Winter Garden team: Monday to Friday, 9am–5pm ET, at (407) 374-2782, with emergency escalation for service-affecting outages agreed in writing before you sign.

The port release date is set by the carrier you are leaving, which is why we say “typical 72 hours once your numbers clear” rather than promising a calendar date before the carrier has confirmed one.

Before the Call Review

  • Your most recent phone bill
  • Number of lines and locations
  • How calls should move: who answers, what happens after hours
  • Compliance needs, if any: recording rules, BAA questions

Before Install Day

  • A signed Letter of Authorization for the port
  • Internet and power at every desk that gets a phone
  • The person authorized on your current carrier account available for questions

How long does installation take?

The Call Review and written quote take days, not weeks. Most installs go live within 72 hours once your site is ready and your numbers clear to port. Multi-location rollouts take longer and get a dated plan during the review.

Will we lose service during the switch?

Your old service stays live until the carrier’s release date. The new system is built and tested beforehand, and calls move on the release date with every line tested the same day.

Do we need new phones?

Not necessarily. Many teams run the mobile app and browser calling with desk phones for reception and key staff. Desk phones are a one-time purchase, pre-configured by us; compatible existing phones are assessed during the Call Review.

Is there a setup fee?

No. Standard configuration and number porting are included. Hardware, taxes and regulatory charges, shipping, cabling and network work, and non-standard requirements are itemized on your written quote where they apply.

Do you install outside the Orlando area?

Yes. Outside the Orlando metro, phones ship pre-configured and our engineer works with your staff or local IT contact by phone for the physical setup; on-site visits are scheduled as part of the quote where the job needs them.
